Council Notes
There is no formalised structure or standardised documentation for handovers between outgoing and incoming Part-Time Officers within the Students’ Union.

While Full-Time Officers receive structured support and transitional documentation as part of their induction and exit processes, this is not always extended to Part-Time Officers, who may receive no written guidance.

Part-Time Officers engage in substantial work throughout the year on issues, campaigns, and advocacy efforts that risk being lost or duplicated due to the lack of structured handovers.

While AMLÉ provides training for Part-Time Officers, this training may not address the specific internal structures, policies, or procedures unique to the University of Galway, leaving incoming officers without sufficient guidance on how to effect change within the institution.
Council Believes
Formalised handover documents for Part-Time Officers would ensure continuity of advocacy and representation, prevent the loss of institutional memory, and better support incoming Officers in fulfilling their roles from the outset.
Council Mandates
The President and Vice Presidents to coordinate the creation of a standardised handover template and guidance document for Part-Time Officers. This document should include but not be limited to:
1. A summary of key issues worked on during the Officer’s term.
2. Useful contacts, ongoing campaigns, and relevant files or links.
3. Reflections and advice for the incoming Officer.
4. Guidance on navigating University of Galway-specific structures (e.g. academic committees, supports, staff liaisons).
Council Further Mandates
All outgoing Part-Time Officers be required to complete this handover document and submit it to the SU Executive prior to the end of their term, to ensure the information is available in advance of the 1st July officer transition. If possible, this should occur while the officer and officer-elect are on campus.
Council Also Mandates
The completed handover documents be made accessible to incoming Officers via a shared SU platform or archive (e.g. SharePoint) maintained by the SU General Manager or designated SU staff member.
