Council Notes

A clear and accurate record of meetings, discussions, and decisions is an organisational necessity for an effective representative body.

Council Also Notes

Without accurate records, valuable organisational knowledge is lost year on year, reducing continuity, transparency, and the Union’s ability to track its own processes over time.

Council Believes

That a dedicated minute-taking role should be assigned at start of every Executive meeting, and meetings of Comhairle Chomhaltas na Mac Léinn meeting, ensuring that detailed, accurate records are maintained.

Council Further Believes

That this would improve transparency, accountability, and institutional memory within the Students’ Union, allowing Officers and students to refer to previous meetings when needed.

Council Mandates

That at the start of every Executive meeting, and meetings of Comhairle Chomhaltas na Mac Léinn meeting, a “Recording Secretary” shall be designated from among those present to take detailed minutes of the meeting.

Council Further Mandates

That minutes taken by the Recording Secretary must include:

• A clear record of all decisions made and votes taken

• A list of any follow-up actions required and who is responsible for them

Council Also Mandates

That the SU President shall ensure this process is followed consistently, and that the resulting meeting records are published in a timely manner to the appropriate location (noted as of 18 June 2025 as: https://su.universityofgalway.ie/your-su/documents/ ), in line with existing transparency motions and constitutional requirements, the Students’ Union Constitution (April 2024), Section 7, Part I, states: “The minutes of Executive Meetings will be published on the Students’ Union website.”
